Folders, favorites, and search
Organize materials in folders, then use Favorites and Recent to return to them quickly. Creating folders, renaming objects, and moving them require edit access.
Create or rename an object
Section titled “Create or rename an object”- Open the destination space or folder.
- Select New folder.
- Enter a Folder name and select Create.
The folder appears in the current list. If creation is unavailable, check your role in the destination folder.
To rename an object, choose Rename in Details or the three-dot menu. Enter the New name and select Save. Do not use slashes or an empty name. Objects of the same type cannot have the same name in one folder; capitalization does not make a name unique.
Move a file or folder
Section titled “Move a file or folder”- Open the object’s menu and select Move.
- Choose a space and open the destination folder. Use Back to move up a level.
- Select Move here.
You need edit access to both the object and its destination. Editors can move objects within their current space. Moving an object between spaces requires ownership of that object.
You cannot rename or move a space’s root folder, or move a folder inside itself.
Keep important objects in Favorites
Section titled “Keep important objects in Favorites”Select a file and choose Add to favorites in Details. For a folder, open Details from its three-dot menu first. The object appears in Favorites. Use Remove from favorites to remove the bookmark.
The bookmark is personal and creates no extra copy. If your access to the original object is removed, keeping it in Favorites does not let you open it.
Find a file
Section titled “Find a file”Search this folder filters names in the current list. It does not search every nested folder or inspect file contents. Select Clear search to restore the complete list.
To search across accessible materials:
- Open Search or press ⌘K / Ctrl+K.
- Enter at least two characters.
- Under Where to search, choose Files or Everywhere.
- Select a result to open it. Use ↑↓ and Enter with the keyboard; Esc closes search.
File search checks names and the completed text index of current ready versions. Content search supports UTF-8 TXT, MD, and CSV files. It does not search inside PDFs, Office documents, or images. Deleted objects and materials you cannot access are excluded.
If the page says that some data is still being indexed or is temporarily unavailable, results may be incomplete. Check the file name, wait for processing, or try again later. The Operations search scope is available only when your account has the corresponding access.
