Connect a data source

Source connects your company’s Operations data to a Google spreadsheet. ClodDoc checks the candidate and its impact before an administrator confirms the connection.

Before you begin

You need the Administrator Operations role. Your ClodDoc operator must configure a Google service account for the company. Give that account Viewer access to the spreadsheet.

Note

Having a Source section does not mean Google Sheets is already configured. Service-account keys are not entered on this page. Contact the service operator if the integration has not been prepared.

Connect or replace a spreadsheet

1. Open Operations → Source.
2. Check Active source for the title and revision, or a message that no source is connected.
3. In Replace source, enter a Google spreadsheet URL, such as https://docs.google.com/spreadsheets/d/….
4. Select Check source. This does not change the active spreadsheet.
5. Review the title, number of bank sheets, identified directory, and preview expiration.
6. Check the notice that the current snapshot will be replaced, including its row count, amount, and revision.
7. Select Confirm replacement, or Cancel.
8. Go to Imports, run an import, and check the result.

Confirmation changes the active source. It does not, by itself, mean that turnover from the new spreadsheet has been imported. The impact describes the existing snapshot that will be replaced, not the future total of the new spreadsheet.

Bank sheet format

The tab name identifies the bank. The first row contains headers. Keep the following column order and the required Russian source labels:

Use Google Sheets date cells or text such as 19.10.2026 or 2026-10-19. Amounts can be numbers or strings with a decimal comma or period. Use two decimal places for clarity. Completely empty rows are skipped.

The merchant column contains the trading or service business name, not a full legal entity name. Overlong values and unrecognized dates or amounts appear among import rejections.

Directory sheet

The directory contains vertically stacked bank blocks. A bank banner is in column G, contains БАНК, and has an empty H cell beside it. The next header row contains the exact label ТСП in G.

The interface does not provide a custom column-mapping builder. Agree on a new structure with the person responsible for the source spreadsheet before connecting it.

Accept a changed structure

Adding, deleting, or renaming sheets or columns can stop an import. If the change is intentional:

1. Review the changed Google spreadsheet.
2. In Source, select Accept current structure.
3. Read Accept new source structure.
4. Select Confirm structure, then run the import again.

Caution

The confirmed structure becomes the reference for future imports. Review the changes before accepting it; do not confirm solely to clear a warning.

If the connection fails

• No Google key configured for the company: the service operator must configure the integration.
• No access to the spreadsheet: check Viewer access for the service account shown in the message.
• Preview expired: previews last 15 minutes. Cancel it and check the source again.
• Source or data changed after preview: obtain a new preview and review the current impact.
