Balances and movement history
Balances shows accounting balances for each bank, merchant, and legal entity combination. Open a row’s history to see the imported turnover, write-offs, and transfers that make up its balance.
Before you begin
Section titled “Before you begin”You need the View or Administrator Operations role. If the section is unavailable, ask your company administrator to check your permissions.
Turnover comes from the connected data source. If no data has been imported, first check the source and imports.
Find a balance
Section titled “Find a balance”- Open Operations → Balances.
- Choose a Bank, Merchant, or Legal entity. An unset filter keeps all available values.
- To check a particular day, set As of. The calculation includes movements up to and including that date.
- Check Filtered balance and Total rows.
- Review the Bank and merchant, Legal entity, Incoming, Outgoing, and Balances columns.
Filtered balance includes every matching row, not just the current page. Use Previous page and Next page to browse. Reset filters returns you to the full list.
Open movement history
Section titled “Open movement history”- Select the merchant and bank name in the relevant row.
- In Transaction history, check the selected combination. History belongs to a specific bank, merchant, and legal entity, including rows with no legal entity.
- Review Turnover No. …, Write-off No. …, and Transfer No. … entries.
- For each entry, compare its date, Incoming, Outgoing, and Balance after.
- Use Back and Next for history pages, or Close to return to the table.
How a balance is calculated
Section titled “How a balance is calculated”Balance = income − expenses.
| Movement | Effect |
|---|---|
| Turnover from the source | Contributes to income. |
| Write-off | Increases expenses. |
| Write-off reversal | Creates an offsetting record that reduces the original expense. |
| Balance transfer | Records an expense for the source legal entity and income for the recipient within the same bank-merchant pair. |
For example, imported income of RUB 10,000 and a write-off of RUB 1,500 produce a balance of RUB 8,500. Transferring RUB 2,000 to another legal entity in the same pair leaves RUB 6,500 with the source and adds RUB 2,000 to the recipient.
These are accounting records in ClodDoc. A displayed transfer does not send a payment instruction to a bank.
Investigate an unexpected row or amount
Section titled “Investigate an unexpected row or amount”- No rows: reset the filters and check whether an import has been applied.
- No legal entity: check the source spreadsheet and the missing-entity queue in Data review.
- Reference data failed to load: retry loading it. Disabled filters do not mean that no data exists.
- A balance changed after an import: an import replaces the turnover snapshot. Compare the current source, rejected rows, and manually recorded movements.
- History could not be loaded: select Retry in its panel. A loading error does not mean there are no movements.
To change a balance, use write-offs, reversals, and transfers. These actions require an Operations administrator and server confirmation.
