Write-offs, reversals, and transfers

Financial actions in ClodDoc create accounting records. A confirmed write-off remains in the journal; corrections use a separate reversal.

You need the Administrator Operations role. Check the balance and history, bank, merchant, legal entity, and action date. Enter a positive amount with no more than two decimal places. The form accepts a comma or a period as the decimal separator.

  1. Open Operations → Write-offs and select New write-off.
  2. Choose the Bank, Merchant, and Legal entity.
  3. Enter the Write-off date, Amount, ₽, and an optional Comment.
  4. Select Continue and check the amount. Edit returns you to the form.
  5. Select Confirm write-off.
  6. Wait for the server-confirmed operation message and review its receipt.

The receipt shows the operation date, amount, bank and merchant, legal entity, and comment. The list also shows when the record was created. This can differ from the operation date.

  1. Select the original Write-off No. … in the journal.
  2. Check its details and select Create reversal.
  3. In Reversal of write-off No. …, check the amount.
  4. Select Confirm reversal.
  5. Review the new receipt and the Original write-off #… / Reversal #… links.

A separate record is created with the opposite amount on the original write-off date. The original remains in the journal. Each write-off can be reversed once. A reversal cannot itself be reversed.

To replace an incorrect amount, reverse the original and create a correct write-off according to the responsible employee’s decision. Do not create a new negative write-off in place of a reversal.

A transfer redistributes a balance between two legal entities within the same bank-merchant pair. It is an accounting action, not a bank payment.

  1. Open Balances and select Transfer balance.
  2. Choose the Bank, Merchant, Source legal entity, and Recipient legal entity. The source and recipient must be different.
  3. Enter the Transfer date, Amount, ₽, and an optional Reason.
  4. Select Continue and check the details.
  5. Select Confirm transfer.
  6. Wait for the server-confirmed transfer message, then check both sides’ movement history.

A backdated transfer cannot exceed either the balance on the chosen date or the current balance. If the server reports that the requested amount exceeds the available balance, check the date and reduce the amount.

Select the confirmation button again in the same dialog. ClodDoc repeats the saved request to retrieve its outcome without creating a new intent. Do not open a second form for the same action.

If the server explicitly rejects a field, correct the highlighted value. If reference data fails to load, retry it. Creating an operation remains unavailable until authoritative data is received.

A receipt and a confirmation message are more reliable than a loading indicator disappearing. Compare the amount and date, then open balance history. The current interface has no separate undo button for confirmed transfers. Agree on a corrective action with the person responsible for accounting if a transfer is wrong.
